Outlaw Roundup ("we," "our," or "the Service") is a classroom vocabulary game designed for K-12 educational settings. We are committed to protecting the privacy of teachers and students who use our platform. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

πŸ›‘οΈ Privacy-First Design: Outlaw Roundup is designed to minimize data collection. Students never create accounts and are identified only by anonymous aliases (e.g., "Cowboy7", "Cactus3").

What We Collect

Teacher Account Information

  • Email address (for account login and communication)
  • Password (stored securely using industry-standard encryption)
  • Optional: School name and display name
  • Account settings and preferences

Game Session Data

  • Game configuration (vocabulary terms, settings)
  • Game codes (6-character codes for joining)
  • Session timestamps and duration
  • Team assignments and game progress

Student/Player Data (Alias-Only)

  • Anonymous alias (e.g., "Ranger42", "S1") β€” NOT real names
  • Game scores and performance within a session
  • Team membership during gameplay
  • Session join timestamp

Technical Data

  • Device type and browser information (for compatibility)
  • Error logs (to fix bugs and improve the service)
  • Basic usage analytics (aggregate, non-identifying)

What We Do NOT Collect

Outlaw Roundup is designed to avoid collecting student personally identifiable information (PII):

  • No student real names β€” only anonymous aliases
  • No student email addresses
  • No student photos or images
  • No home addresses or phone numbers
  • No student ID numbers
  • No data from other apps or services
  • No behavioral tracking for advertising

Class Rosters (Optional, Stored On the Teacher's Device)

Teachers may optionally import a class list so that game results can be matched back to their own students. This feature is designed so that no student information is ever transmitted to or stored by Outlaw Roundup:

  • Names stay in the teacher's browser. A roster is saved only in that browser's local storage on that computer. It is never uploaded to our servers, never sent to any API, and is not accessible to us.
  • Names are minimised on import. Full names are reduced to a first name and last initial (for example, β€œSarah T.”). The remainder of the name is discarded and never stored. Email columns in an uploaded file are discarded.
  • Only anonymous aliases reach our servers. Each student is assigned a non-identifying alias such as β€œCactus7”. Aliases are generated from position in the list, not from any student's name. Game data continues to contain aliases only.
  • The teacher controls it entirely. A roster can be set to erase when the browser closes, and can be deleted at any time. Clearing browser data removes it.

Because a roster lives on the teacher's own device, it is under the control of the teacher and their school division in the same way as a class list kept in a spreadsheet. Outlaw Roundup neither holds nor processes it.

Where Data Is Stored

Outlaw Roundup runs on Google Firebase (Firestore) and Vercel. The Firestore database is hosted in a United States multi-region, so the anonymous game data described above is stored and processed in the United States.

Canadian school divisions reviewing this service should note the storage location above. Because game data contains no student names, emails or identifiers, and because class rosters never leave the teacher's device, no student personal information is transferred outside Canada by Outlaw Roundup.

How We Use Data

We use the information we collect solely to:

  • Provide the Service: Enable teachers to create games and students to participate
  • Improve the Service: Fix bugs, add features, and enhance the user experience
  • Communicate: Send important updates about the service to teachers (opt-in only for marketing)
  • Ensure Security: Protect against fraud, abuse, and unauthorized access

We do NOT:

  • Sell any user data to third parties
  • Use data for targeted advertising
  • Share data with advertisers or data brokers
  • Build profiles on students for non-educational purposes

Data Retention

Teachers have full control over data retention:

  • Game sessions can be deleted at any time by the teacher
  • Automatic deletion can be configured (24 hours, 7 days, 30 days, 90 days, or indefinite)
  • Account deletion removes all associated data permanently
  • Deleted data cannot be recovered

Data Security

We implement industry-standard security measures:

  • All data transmitted over HTTPS (encrypted in transit)
  • Data encrypted at rest on our cloud infrastructure
  • Access controls limiting who can view data
  • Regular security reviews and updates
  • Hosting on reputable cloud providers (Firebase/Google Cloud) in North America

Third-Party Services & Data Residency

Outlaw Roundup uses the following third-party services:

  • Firebase (Google Cloud): Authentication and database hosting
  • Vercel: Web application hosting and CDN
  • OpenAI (United States): Powers the optional β€œAI Word Bank Generator” that helps teachers draft vocabulary sets. Only the teacher's typed prompt is sent β€” never student data, aliases, rosters, or game results. Teachers are warned in the app not to paste student work into it.
  • Stripe (United States): Processes payments for teachers who choose the optional Supporter plan or make a donation. Card details are entered on Stripe-hosted pages and never touch our servers; we keep only the teacher's subscription status and Stripe's opaque customer and subscription identifiers. Students are never part of any payment.

πŸ“ Data Residency: All data is stored on servers located in the United States. Firebase Firestore and Vercel infrastructure are US-based. We do not currently offer data residency in other regions.

No Advertising, No Data Sales, No Tracking

Outlaw Roundup is committed to a clean, ad-free educational experience:

  • No advertising β€” Outlaw Roundup displays zero ads of any kind
  • No data selling β€” We never sell, rent, or trade user data to any third party
  • No social tracking β€” We do not use social media pixels, trackers, or sharing widgets
  • No behavioral profiling β€” We do not build profiles on students for any purpose
  • No third-party analytics β€” We do not use Google Analytics, Facebook Pixel, or similar services

Analytics & Usage Data

We collect only minimal, aggregate, non-identifying usage data for the purpose of maintaining and improving the service. This includes:

  • Total number of games played (aggregate count)
  • Error logs for debugging (no user identifiers)
  • Page load performance metrics

This data cannot be used to identify individual students or link activity to specific users. We do not use any third-party analytics platforms that share data externally.

Your Rights

Teachers and schools have the right to:

  • Access: Request a copy of data associated with your account
  • Delete: Delete individual game sessions or your entire account
  • Export: Download game results as CSV files (with aliases only)
  • Correct: Update your account information at any time
  • Object: Contact us with any concerns about data processing

Children's Privacy

Outlaw Roundup is designed for use in K-12 educational settings. We recognize the importance of protecting children's privacy:

  • Students do not create accounts or provide personal information
  • Students join games using only a code and anonymous alias
  • Teachers act as the authorized party under applicable laws (COPPA, FERPA)
  • No student data is used for advertising or marketing
